Apps for Managing Your Finances

Ah January – the month of new beginnings and sobering bank statements. If you find yourself staring at financial disaster, or even if you’re in good shape and want to stay there, these apps can help.

Mint

Mint tops just about every list of “Best Apps for Managing Finances.” This secure app allows you to track transactions using your checking accounts, savings accounts and credit cards all in one place. Simple, easy-to-read graphs help you understand information at a glance and keep records up-to-date. You can create a budget, set up automatic bill payments and reminders, check your credit score, and get alerts about any unusual charges.

Cost: Free


Level Money

Level Money takes the “keep it simple” principle seriously by dividing your finances into four categories: Income, Bills, Save, and Spendable. Once you input your banking information (secured by Intuit), Level Money looks at your expenses and creates simple graphs showing what money you have and what you can spend each day. Level Money isn’t an intense money management app, but if you’re looking for something simple to help you stay on track, it’s ideal.

Expensify

Expensify is also divided into four primary categories – SmartScan, Add Expense, Track Time, and Track Distance – and is especially effective if you need to separate business and personal expenses. If you like to keep your receipts but don’t want to keep paper copies, use “SmartScan” to take a photo of the receipt, categorize it and then add to an expense report. If you prefer to track spending manually, “Add Expense” lets you input necessary information and again add to expense reports. “Track Distance” is great for freelancers or independent contractors, as you can track mileage via odometer or by clicking “location” and using GPS. “Track Time” does simply and exactly that – tracks the hours worked – again ideal for freelancers or independent contractors.

Money

More suitable for business or international travel, Money tracks and balances all your cash, debit, credit and savings accounts through manual or Open Financial Exchange (OFX) import. The App includes Balance, Transactions, Budget and Reports tabs for easy reference and management. Automatically converts currencies and enters recurring transactions. All data can be backed up and downloaded to a desktop. iCloud capability allows syncing across other iOS devices.

Dollarbird

Dollarbird is a great app if you want to get a handle on just how much and on what you’re spending your money. Simply input daily expenses and they appear as a single total for that day. Dollarbird also includes the option to color code expenses in customizable categories. If you want to see how much that Starbucks habit is actually costing you or how much you spend eating out in general, add those expenses to the appropriate category then swipe though days and see how it adds up. You can add your income and overall budget, and Dollarbird will create a graph mapping your expenses or make them available for download to a CSV spreadsheet.

It’s Time to Embrace the Cloud

While numerous large and medium-sized businesses have eagerly turned to the cloud for data backup and even handling day-to-day transactions, smaller businesses and individuals have been much more reticent. High profile security breaches involving household names such as Target and Home Depot have undermined what little trust many people had in the cloud, and confusion over privacy, reliability and costs have added to the uncertainty.

But however much we try to ignore it, the cloud is not going away. In fact, most of us are already using the cloud on a daily basis, often without realizing it. Whenever we check our Facebook accounts or read our Gmail, we are interacting with the cloud. When we buy something from Amazon, or stream a movie from Netflix, or seek out turn-by-turn directions on our smartphones, we are taking advantage of cloud services, transmitting various amounts of data each time we log on.

So rather than fight against a rising tide, it’s time to allay those fears and embrace everything the cloud has to offer. Here are a few reasons why:

Security

Despite the occasional headlines, cloud computing services have a growing reputation for reliability and security. Think about how much data is handled by cloud services and how few outages and other problems are reported. Even if you are not taking advantage of cloud-based applications like Google Docs, Office 365 or GoToMeeting, cloud storage solutions provide a safe way to make sure all your precious data is backed up and available when you need it. Compare this with your existing arrangements for backup and storage. (Exactly!)

Flexibility

The real benefit of cloud storage is that your data is available wherever and whenever you need it. No more waiting until you get home or back to the office before you can access a file. No more carrying a not-so-portable laptop with you wherever you go. Data stored in the cloud is available wherever there is access to the Internet, and with most people carrying personal hotspots in the form of their smartphones, that means virtually everywhere.

Affordability

The price for online storage is cheap and getting cheaper. With Google Drive, the first 15GB of online storage is free, which will almost certainly take care of most individual’s needs. If you are a small business owner or store a lot of movies or other large files, then 100GB costs just $1.99 a month. Even more impressively, a terabyte of storage (that’s 1000GB) costs just $9.99 a month. At these prices, you don’t really have to look anywhere else, but there are still dozens of options to choose from, including Dropbox, Microsoft OneDrive, iCloud and Amazon Cloud Drive. All of them offer a certain amount of free storage, with additional paid options if you need more.

Privacy

As Edward Snowden and certain Sony Entertainment executives will tell you, privacy is one of the biggest problems of the digital age. But again, stop and think about the personal data that we already store in the cloud, mostly because we put it there. Facebook and Instagram accounts, Gmail, banking apps, messaging, Apple Pay – the list of cloud-based computer programs and smartphone apps containing sensitive information is almost endless and each of them probably holds significantly more personal data than we store in the majority of our PC-based Word and Excel files.

That’s not to minimize the risk associated with uploading large amounts of personal data to the cloud but to emphasize that we have already passed the point of no return. The cloud is already a big part of our lives and to not acknowledge that fact is to close the door to myriad opportunities for improved security and efficiency.

Apps to Help with Co-Parenting

Parenting is one of the most challenging things you’ll ever face, and co-parenting can sometimes not just double, but exponentially increase those challenges. Trying to organize and keep track of homework, appointments, special dietary requirements and expenses can make your head spin.

Fortunately, there’s an app for that. Here are some of the best:

Our Family Wizard

family-wizardCreated by a divorced couple looking for a better way to communicate and exchange information about their kids, Our Family Wizard provides visitation and child custody schedules, calendars, parenting plans, and other co-parenting tools. The web site and app also include links to counseling and legal services.

2Houses

2housesAgain created by co-parents, 2Houses offers a calendar to organize custody and events, share information about school or doctor’s appointments, a photo album, a journal to record notes and important reminders like food allergies or sensitivities, and an expense module to manage child related expenses for both parents.

Kidganizer

kidganizerKidganizer is a good option for parents who may not communicate well face to face. This synchronized app allows users to create profiles for each child and input information including scheduling and finances, as well as sending alerts to remind family members of important events like doctor’s visits, parent teacher conferences or ballet recitals. Updates are in real time, so both caregivers have up to date information.

CustodyJunction

custody-junctionCustodyJunction.com is designed to facilitate custody from before to after the divorce. Through the calendar and tracking features, parents can schedule current and future visitation and support arrangements for up to two years’ in advance, which is a significant help in planning vacations and holidays. Customized reports on visitation, support payments, expenses, and hours spent with child are generated for both parents and can be shared with third parties such as lawyers or court monitors.

AboutOne

about-oneAbout One is ideal for accessing paperwork on-the-go, serving as an online file cabinet where you can keep receipts, health information, instructions for caregivers and school reports. Track scheduling, events, paperwork, and emergency contact information and access them at any time.

Cost: Free


Skedi

skediSkedi is a cloud based app that syncs with your current online calendar – Google, Outlook, Yahoo!, or Microsoft Exchange. Manage drop offs, pick-ups, and even assign to other family members so there’s never a doubt about who’s turn it is or who is responsible for getting something done.

Cozi

coziCozi isn’t designed specifically with co-parenting in mind but is still a valuable tool for parents trying to manage life in two places. Cozi offers an app and web site for managing your family’s calendars, to-do lists, chores, and shopping lists. Add recurring events like soccer practice or tutoring, forward the week’s agenda to family members, and have alerts sent via text or email.
